Job Summary The Employee Services Officer is responsible for delivering high-quality administrative and employee support services. This role ensures smooth execution of employee lifecycle processes including onboarding, documentation, government relations coordination, and responding to employee inquiries. The position acts as a key point of contact to ensure excellent employee experience and full compliance with organizational policies and Saudi labor regulations. Key Responsibilities 1. Employee Onboarding & Offboarding - Coordinate onboarding processes for new hires including documentation, medical checks, data entry, and system registration. - Prepare welcome kits, orientation schedules, and ensure workplace readiness. Support offboarding activities including clearance, exit interviews, and end-of-service processing. 2. Employee Records & Documentation - Maintain accurate and updated employee records in HRIS and physical files. - Prepare employment letters, salary certificates, bank letters, and other official documents upon request. - Ensure all employee files comply with internal policies and external requirements. 3. Visa & Government Processing (GRO Coordination) - Coordinate with Government Relations team for iqama renewals, transfers, profession changes, GOSI updates, and other MHRSD/Absher processes. - Track and monitor visa, passport, and residency expiry dates and notify concerned parties. 4. Employee Support & Communication - Serve as the first point of contact for employee inquiries regarding attendance, leaves, benefits, and policies. - Provide timely and accurate responses to employee requests. - Escalate complex issues to HR management when required. 5. Attendance & Leave Administration - Monitor attendance, leaves, and missing punches in the attendance system. - Process leave requests, update balances, and ensure adherence to company leave policies. - Prepare periodic attendance reports for decision-making. 6. HR Operations & Reporting - Support HR initiatives such as engagement activities, training coordination, and wellness programs. - Prepare regular HR reports (headcount, turnover, service period, expiries, etc.). - Assist in audits and compliance reviews. 7. Policy Compliance - Ensure full compliance with HR policies, Saudi Labor Law, and company guidelines. - Keep employees informed of HR updates, changes in policy, and relevant procedures.
